Special Projects & Initiatives Coordinator (40 HRS. PER WEEK)

Type: Full Time 40-hours per week

Job Summary

To promote the mission of PATH to help individuals achieve a more independent and fulfilling life by being an effective team player. Provide overall project management for automation projects including the successful migration from the CMHC/MIS system to alternate platforms for existing Human Resource Information System (HRIS), Payroll, Training, and Fiscal/Accounting software as well as a new automated system for Time & Attendance. Responsible for scoping and implementing PATH’s other special projects and strategic initiatives, as determined by the COO. 

Specific Duties

  1. In conjunction with the Director of Information Technology, lead the planning and implementation of the automation project including the successful migration from the CMHC/MIS system to alternate platforms for existing Human Resource Information System (HRIS), Payroll, Training, and Fiscal/Accounting software as well as a new automated system for Time & Attendance.
  2. In conjunction with the Director of Information Technology, ensure compatibility and connectivity across all platforms and with Netsmart’s Avatar Electronic Health Record.
  3. In conjunction with the Director of Information Technology, research and identify potential vendors and arrange for vendor demonstrations to stakeholders
  4. Work with the COO, DEDAC, and Fiscal staff to identify program needs and desires relative to a new alternative platform
  5. Evaluate current workflow and efficiencies and make recommendations for changes relative to automation project.
  6. In conjunction with the COO, Director of Information Technology, and all stakeholders make recommendations for vendor solutions to the President and CEO.
  7. Develop full scale project plans including review of workflow, establishment of controls, defining project tasks and resource requirements, execution timeline, integration and recommendations for continuous improvement.
  8. Lead, execute and implement the project in collaboration with the Director of Information Technology and team members identified during the planning phase.
  9. Refine and further develop the definition, scope, goals and deliverables of the project during the implementation phase.
  10. Troubleshoot, address and make quick, informed decisions about potential and unforeseen technical problem areas
  11. Implement and manage project changes and interventions to achieve project outputs
  12. Ensure on-going monitoring of the project and provide updates on progress of the project to all stakeholders. Reporting will include progress update, problems and proposed solutions.
  13. In conjunction with the Director of Information Technology, manage vendor services and relationships.
  14. Identify training needs, develop user guides and training materials, and coordinate and deliver training of staff.
  15. In conjunction with the COO, ensure resource availability and allocation.
  16. Assist with PATH’s relocation project. 
  17. Create and maintain comprehensive project documentation including Standard Operating Procedures.
  18. Responsible for scoping and implementing PATH’s other special projects and strategic initiatives, as determined by the COO in consultation with the President and CEO and Systems & Evaluation Director.

Qualifications:
B.A./B.S. degree in Business or research related field.  Excellent computer skills required in Microsoft Office, including Excel, Word, Outlook, and Power Point.  Minimum of 3 years hands-on project management experience including introducing automated solutions.  Proven ability to identify key issues and to carry forward a project from conception to execution. Strong organizational skills and demonstrated capacity to develop and implement practical strategies, plans and solutions to identified issues and problems. Experience in training and supporting users on automation solutions. Knowledge of program evaluation.  Superior critical thinking skills, including the capacity to identify and appropriately assess and order competing interests and priorities. Excellent verbal and written communication skills. Ability to write detailed procedures required. Solid organizational skills including attention to detail and multi-tasking skills.

SALARY:      $54,787.00 Annually ($26.34 Per Hour)
