Office Manager - CLA Healthcare

Type: Full-Time (40 hours per week)

Job Summary

To promote the mission of PATH to help individuals achieve a more independent and fulfilling life by managing an effective team to provide quality services.  Responsible to provide excellent clerical support services. 

Specific Duties

  1. Setup an electronic organizational system to input, track and ensure compliance with all regulatory issues related to residents’ medical appointments.
  2. Plan, organize and direct work to ensure that adequate clerical support (typing, filing, scanning, etc.) is provided to the CLA Healthcare Unit.
  3. Communicate weekly with CLA Director about progress towards goals and efforts to streamline organization and coordination of the healthcare team.
  4. Ensure that Nurses and Healthcare Assistants are entering data into the Avatar system accurately and in a timely fashion to better support consumer health and tracking of follow up appointments in EIM.
  5. Create systems to track and improve the timely ordering and refilling of the residents’ medications.
  6. Evaluate and identify workflow inefficiencies and make recommendations to increase the organization and productivity of the Healthcare Unit.
  7. Work with CLA Director, Nurse Manager, and Healthcare staff to identify program needs and desires related to scheduling, tracking and following up on healthcare appointments.
  8. Keep shared files up to date with the latest resident information: MIF’s, Nursing Intervention, Lifetime medicals, physicals etc.
  9. Directly provide support services (typing, filing, answering phones) as necessary to ensure all departmental work is completed in a timely fashion.
  10. Work cooperatively with other departments within PATH to address and resolve matters relevant to CLA Healthcare Services.
  11. Make phone calls to confirm appointments and coordinate discharge planning as assigned


High School Diploma/GED; at least five years of secretarial experience.; Excellent computer skills; proficiency with MS Office Products, particularly Word, Excel; Must type 65-70 words per minute; Ability to take shorthand or speed write (70-80 words per minute) and transcribe from Dictaphone.
